Attendance monitoring

Attendance monitoring forms a key part of how the University supports its students and manages teaching space around its campus buildings.

There are three main work streams that form part of the Attendance Monitoring process; attendance capture, attendance reporting, and absence reporting.

Registering Your Attendance

Attendance for all students going to classes on campus needs to be recorded on the attendance monitoring system to ensure the University supporting students where required and managing classroom space efficiently.

How the systemworks:

All academic and admin staff who teach students or supervise learning spaces must capture attendance at timetabled sessions. There are two ways to record attendance using the system:

1. Students presenting their contactless ID card close to a card reader inside their classroom.

2. Using the Presto Academiconline interface, which requires the member of staff leading the session to check in students.

*Students must swipe in 20 minutes before the start or up to 20 minutes before the end of the session to be marked as present*

Online sessions:

Log in to online/MS Teamssessions using your 窪蹋勛圖厙 account so that your attendance can be accurately logged. If you use a personal email this will not be registered.

Attendance Monitoring Explained

Students on a standard teaching route with be monitored for the following periods in each semester.

Monitoring period 1: Weeks 1 2

Monitoring period 2: Weeks 3 - 5

Monitoring period 3: Weeks 6 - 8

Monitoring period 4: Weeks 9 11

*International UKVI students will also be monitored weekly as well as the above*

Home

Check-In A is issued for students who have been in attendance but may be falling slightly short of 窪蹋勛圖厙 expectations. The focus will be to highlight support services available to students and to encourage them to seek advice and support if there are any concerns. Check-In B is issued when a student becomes a serious concern and it not meeting the minimum expectations set out by the university. Warning Notice is issued when a student fails to meet the minimum expectations across two monitoring periods. The expectation is that students will be contacted directly at this notice to help support re-engagement. Withdrawal notice is issued when a student fails to meet the minimum expectations across three monitoring periods.

UKVI and Apprentices

First Attendance Notice will be to remind the students of the 窪蹋勛圖厙 policy regarding attendance and engagement and to highlight support services available to students and to encourage them to seek advice and support. Final Attendance Notice, the purpose is to give clear details about student expectations around attendance and engagement. The expectation is that students will be contacted directly at this notice to help support re-engagement. Withdrawal Notice will be issued if the student continues to fail to engage or give satisfactory reasons for non-attendance.

PGR

Students doing Postgraduate research, dissertations or placement who are no longer in taught teaching will be monitored via monthly contact points set up in MySRS. For any international students that are absent for their contact point or whose contact point has not been updated will skip the first attendance notice and go straight to final attendance notice. This is due to the timings of the contact points only being monthly. All students have the right to appeal any stages if they believe it has been issued incorrectly, and these can be rescinded if this is the case.

Withdrawal Notice

Unfortunately, if your attendance/engagement does not improve you may be issued with a withdrawal notice. The below information will help you with this process.

Please submit your appeal to attendanceappeals@bcu.ac.uk with any information and evidence you wish us to consider, and this could include:

Medical certificates,Evidence of your attendance,Evidence of engagement with your studies,Actions being taken to overcome barriers to study,Detail of how you will improve attendance and engagement moving forward including how you will catch up with missed learning and where relevant assessments

*Please do not submit any photographs of injuries, accidents, or anything of a graphic nature*

If you wish to appeal our intention to withdraw you from your course, you have 5 working days to submit an appeal from the date of this email.

If you submit an appeal, this will be reviewed within 5 working days from the end of your appeal date and we will notify you of the outcome. Where a meeting is required to discuss your appeal in further detail you will be notified of this via your 窪蹋勛圖厙 email.

If your appeal is unsuccessful or you do not submit an appeal within 5 working days, we will withdraw you from your course and will provide further confirmation by email once this has happened.

Challenge Codes

Your success is important to us, and research shows that attendance positively impacts your academic achievement.

The Challenge Code system means you can now register your attendance if there are no card readers available. The challenge code needs to be generated by the academic tutor leading the session.
